MEMBERSHIP TERMS & CONDITIONS AND POLICIES

1. GENERAL TERMS AND CONDITIONS
1.1 Acceptance of Terms
By registering for membership with Emerald Welcome Centre ("the Centre," "we," "us," or "our"), you ("Member," "you," or "your") agree to be bound by these Terms and Conditions and all policies referenced herein. These terms constitute a legally binding agreement between you and the Centre.
1.2 Eligibility
- Membership is open to individuals aged 18 and over
- Minors may be included under family memberships with adult supervision
- Members must provide accurate and current contact information
- The Centre reserves the right to refuse membership at our discretion
1.3 Membership Categories and Fees
- Individual Membership: €25 annually
- Family Membership: €40 annually (up to 4 family members at same address)
- Student/Senior Membership: €15 annually (valid ID required)
- Corporate Membership: €100 annually
1.4 Membership Duration and Renewal
- Membership year runs from January 1st to December 31st
- Pro-rated fees apply for mid-year registrations
- Automatic renewal notices sent 30 days prior to expiration
- 30-day grace period after expiration before access suspension
- Failure to renew results in loss of membership benefits
2. MEMBER CODE OF CONDUCT
2.1 Expected Behavior
Members are expected to:
- Treat all members, staff, and visitors with respect and courtesy
- Respect cultural, religious, and personal differences
- Use appropriate language and maintain professional conduct
- Follow all facility rules and safety guidelines
- Report any concerns or incidents to staff immediately
2.2 Prohibited Conduct
The following behaviors are strictly prohibited:
- Discrimination, harassment, or intimidation of any kind
- Violent, threatening, or abusive behavior
- Use of offensive, discriminatory, or inappropriate language
- Damage to Centre property or facilities
- Unauthorized use of Centre resources or facilities
- Disruptive behavior during events or programs
- Solicitation or commercial activities without prior approval
- Consumption of alcohol or illegal substances on premises
- Photography or recording without consent
2.3 Enforcement
- Violations may result in warnings, suspension, or termination of membership
- Serious violations may result in immediate termination without refund
- Members have the right to appeal disciplinary actions
- Legal action may be pursued for criminal behaviour or property damage
3. PRIVACY POLICY AND DATA PROTECTION
3.1 Information Collection
We collect and process the following information:
- Contact details (name, address, phone, email)
- Demographic information (age, nationality, languages spoken)
- Membership preferences and interests
- Event attendance records
- Payment information (processed securely through third-party providers)
- Emergency contact information
3.2 Use of Information
Personal information is used to:
- Administer membership accounts and services
- Communicate about events, programs, and Centre updates
- Improve our services and programs
- Comply with legal obligations
- Ensure safety and security of all members
3.3 Data Protection Rights (GDPR Compliance)
Under the General Data Protection Regulation, you have the right to:
- Access your personal data
- Correct inaccurate information
- Request deletion of your data
- Object to processing of your data
- Data portability
- Withdraw consent at any time
3.4 Information Sharing
- We do not sell or rent personal information to third parties
- Information may be shared with service providers under strict confidentiality agreements
- We may share information when required by law or to protect safety
- Anonymous, aggregated data may be used for reporting and analysis
3.5 Data Security
- Personal information is stored securely with appropriate technical and organizational measures
- Access is limited to authorized personnel only
- Regular security assessments and updates are conducted
- Data breaches will be reported as required by law
4. FACILITY USE POLICY
4.1 Access Rights
- Members have access to designated common areas during operating hours
- Special events may restrict access to certain areas
- Member identification may be required for entry
- Guests must be accompanied by members and signed in
4.2 Facility Rules
- Maximum occupancy limits must be observed
- Food and beverages allowed only in designated areas
- Members responsible for cleaning up after use
- Report any damage or maintenance issues immediately
- Follow all posted safety and emergency procedures
4.3 Reservations and Bookings
- Advance booking required for private room use
- Booking fees may apply for extended or exclusive use
- Cancellations must be made at least 24 hours in advance
- No-shows may result in booking privileges suspension
5. EVENTS AND PROGRAMS POLICY
5.1 Event Participation
- Members receive priority booking for events and programs
- Registration may be required for limited capacity events
- Age restrictions may apply to certain programs
- Members must follow specific event rules and guidelines
5.2 Event Conduct
- Attendance confirmation required for catered events
- Dietary restrictions must be communicated in advance
- Photography/recording policies vary by event
- Members may be removed from events for disruptive behavior
5.3 External Events
- The Centre may organize off-site events and activities
- Additional waivers or terms may apply
- Members participate at their own risk
- Transport arrangements are member responsibility unless specified
6. FINANCIAL POLICIES
6.1 Payment Terms
- Membership fees are payable in full upon registration
- Payment accepted via cash, card, bank transfer, or online payment
- All fees are in Euro and include applicable taxes
- Returned payments subject to administrative fee
6.2 Refund Policy
- No refunds for membership fees after 30-day cooling-off period
- Pro-rated refunds considered for documented hardship cases
- Event fees may be refunded with 48-hour notice
- Processing fees are non-refundable
6.3 Fee Changes
- Membership fee changes require 60 days written notice
- Current members honoured at existing rates until renewal
- Special assessments require member approval
- Fee increases limited to once per membership year
7. LIABILITY AND INSURANCE
7.1 Limitation of Liability
- Members participate in activities at their own risk
- The Centre is not liable for personal injury or property damage except where legally required
- Members advised to maintain personal insurance coverage
- Liability limited to membership fees paid in the current year
7.2 Indemnification
- Members agree to indemnify the Centre against claims arising from their conduct
- Members responsible for damage caused by themselves or their guests
- Legal fees and costs may be recovered from responsible parties
7.3 Force Majeure
- The Centre is not liable for service interruptions due to circumstances beyond our control
- This includes natural disasters, government restrictions, pandemics, or facility emergencies
- Alternative arrangements will be made when possible
8. TERMINATION AND SUSPENSION
8.1 Voluntary Termination
- Members may terminate membership with 30 days written notice
- Termination effective at end of current membership period unless otherwise agreed
- No refund of fees for voluntary termination after cooling-off period
8.2 Involuntary Termination
- The Centre may terminate membership for violation of terms or policies
- Immediate termination authorized for serious misconduct
- Terminated members forfeit all fees and benefits
- Appeal process available for disputed terminations
8.3 Suspension
- Temporary suspension may be imposed pending investigation
- Suspended members lose access to facilities and services
- Membership time extended for duration of suspension if member not at fault
9. INTELLECTUAL PROPERTY
9.1 Centre Content
- All Centre materials, programs, and content are proprietary
- Members may not reproduce or distribute Centre materials without permission
- Logos, trademarks, and branding are protected intellectual property
9.2 Member Content
- Members retain rights to content they create
- The Centre may use member testimonials and photos with consent
- Members grant limited license for promotional use of their participation
10. DISPUTE RESOLUTION
10.1 Internal Resolution
- Complaints should first be addressed with Centre management
- Formal grievance process available for unresolved issues
- Mediation encouraged before legal action
10.2 Governing Law
- These terms governed by Irish law
- Jurisdiction of Irish courts for legal disputes
- Alternative dispute resolution preferred when possible
11. AMENDMENTS AND MODIFICATIONS
11.1 Policy Changes
- Terms and policies may be updated with 30 days notice
- Significant changes require member notification
- Continued membership constitutes acceptance of modifications
- Members may terminate if they disagree with material changes
11.2 Communication of Changes
- Policy updates posted on website and member notice board
- Email notification sent to all members
- Previous versions archived and available upon request
